Lesson Summary

Backing Up Your \"Off-Platform\" Assets (Design Files, Contracts, SOPs) (Advanced)

What is it?

This is your strategy for backing up all the critical business assets that *do not* live on the Shopify platform. This includes your original, high-resolution design files (`.psd`, `.ai`), your supplier contracts, your legal documents (LLC formation, trademark certificate), and all your SOP/training videos.

Why is it important?

If your laptop (with the *only* copy of all your design files) is stolen or its hard drive fails, you have lost the 'master' versions of your entire product catalog. You can't launch new products, create new mockups, or provide your designs to a new supplier. Your intellectual property is gone.

How to Do It:

  • Use a Cloud Storage System: This is non-negotiable. Use Google Drive, Dropbox, or OneDrive for your business.
  • Work From the Cloud: Do not save your 'master' design file to your desktop. Save it *directly* into your Google Drive folder. This way, it is synced and backed up in real-time.
  • Create a Simple Folder Structure: Create a master folder for your business (e.g., 'DijiPilot Brand') and then subfolders like `01_Brand_Assets` (logos), `02_Design_Files` (product art), `03_Legal` (contracts), `04_SOPs` (training).

✅ Do's and ❌ Don'ts

  • Do: Make sure your 'Backup Owner' (6.12.2.1) has shared access to this central cloud drive.
  • Don't: Keep the *only* copy of any critical business file on a single physical hard drive or laptop.
  • Do: Back up your *SOPs* and *Knowledge Base*. If your Notion or ClickUp account gets locked, you don't want to lose your entire company 'brain.' Export it to PDF quarterly.

Backing Up Your E-commerce “Off-Platform” Assets (Design Files, Contracts, SOPs)

When e-commerce founders think about "backups," they almost instinctively look at their Shopify dashboard. They install apps to backup products, themes, and customer lists. While this is critical, it completely ignores the "source code" of your brand. Your business is not just the data on Shopify; it is the ecosystem of assets that allowed you to build that store in the first place.

Think about the high-resolution .psd or .ai files for your logo and product packaging. Think about the signed PDF contracts with your suppliers that prove you have exclusive rights to sell a product. Think about the hundreds of hours of SOPs (Standard Operating Procedures) and training videos stored in your Notion workspace or on your laptop hard drive. These are your "Off-Platform" assets. They do not live on Shopify, and Shopify will not save them for you.

If your laptop is stolen today, or if your hard drive fails, or if your Google account is locked due to a payment glitch, do you lose the ability to create new products? Do you lose the legal proof of your company's existence? For many scaling brands, the answer is a terrifying "yes." Losing these assets is often more damaging than losing the store data itself, because store data can be scraped or approximated, but original intellectual property and legal records are often irreplaceable.
