7.8.2.3 - Understanding Filing Cadence & Tools (TaxJar/Avalara) (Difficulty: Advanced | Path: Scale)

Lesson Summary

Collecting is Easy, Filing is the Hard Part

What is it?

Once you register in a state and collect sales tax, you hold that money in trust. You must file a return and pay that money to the state on a strict schedule (Monthly, Quarterly, or Annually).

Why is it important?

Do NOT collect tax if you are not registered. That is tax fraud. Once registered, you must file on time, even if you had zero sales (a 'zero return'). States love to issue fines for missed deadlines.

Manual vs. Automated:

  • Manual: You log into each state's website (e.g., California CDTFA), type in your sales numbers, and pay via ACH. Free, but painful if you have nexus in 10 states.
  • Automated (TaxJar/Avalara): These apps connect to Shopify, pull your data, and automatically file the returns for you for a fee. Highly recommended once you have nexus in more than 2-3 states.

Mastering the Rhythm of Compliance: Filing Cadence and Automation Strategy

Collecting sales tax at checkout is merely the prelude to the actual performance of compliance; the true operational burden lies in the filing and remittance of those funds. Once your business crosses an economic nexus threshold and registers with a state, you become an unpaid tax collector for that jurisdiction. You enter a binding relationship where you hold public funds in trust. The state dictates the terms of this relationship, specifically the "filing cadence"—the strict schedule on which you must report your sales and hand over the cash. This cadence can be monthly, quarterly, or annually, and it varies not just by state, but often by your revenue volume within that state.

The strategic danger here is not just the financial cost of the tax itself—which is passed to the customer—but the administrative friction and the risk of penalties for procedural failures. A "Zero Return" is a classic trap for scaling brands: even if you sold nothing in Ohio last January, if you are registered there, you must file a return stating "zero sales." Failure to do so triggers automatic fines, revocation of your sales tax permit, and potentially triggers an audit. As you scale from one state to twenty, manually logging into twenty different vintage government portals to type in numbers becomes an operational impossibility. This is where the choice of infrastructure becomes critical.

In this masterclass, we will dissect the two dominant engines of US sales tax automation: TaxJar and Avalara. We are not just comparing features; we are analyzing the architectural fit for your business model. TaxJar (acquired by Stripe) typically serves the modern, high-growth DTC brand looking for "set it and forget it" simplicity within the US. Avalara (AvaTax) is the enterprise-grade behemoth, necessary for complex product taxonomies, international VAT/GST compliance, and deep ERP integrations. Choosing the wrong tool can lead to thousands of dollars in wasted subscription fees or, worse, a compliance gap that leaves you liable for uncollected taxes.
