How to Set Up Auto-Hold & Review Rules

What is it?

This is an automation you build in Shopify Flow to prevent high-risk orders from being fulfilled automatically. It acts as a 'circuit breaker' for your operations.

Why is it important?

In a fast-moving business, it's easy for a high-risk order to slip through and get shipped. This automation stops it in its tracks, holds the fulfillment, and flags it for a human (you or your team) to manually review, saving you from a guaranteed loss.

Example Auto-Hold Workflow:

This is one of the most valuable workflows you can build in Shopify Flow.

  • Trigger: 'Order created'.
  • Condition: 'Order risk level is equal to High' OR 'Order risk level is equal to Medium'.
  • Actions:
    1. 'Add order tag: NEEDS REVIEW'.
    2. 'Hold fulfillment:' This is a key action that stops the order from being sent to any 3PLs or fulfillment apps.
    3. 'Send internal email:' Notify your support team with the order number and risk details, telling them to investigate.

What to Do Next:

Your team will then manually review the order. They might try to call the customer, verify the address, or, if it's obviously fraudulent, cancel and refund the order immediately. This workflow gives you the time to make that decision.

How to Set Up Auto-Hold & Review Rules in Shopify

In the high-velocity world of e-commerce, speed is usually your greatest ally. You want orders to flow from the "Buy" button to your fulfillment center instantly to delight customers with rapid shipping. However, this seamless pipeline has a dangerous flaw: it treats every order as a good order. When a fraudulent transaction slips into this high-speed stream, it is often shipped, tracking numbers are issued, and the product is gone before you even realize the payment was stolen. Once the product leaves the warehouse, your leverage creates a vacuum. You lose the inventory, the shipping cost, and eventually the revenue when the inevitable chargeback hits.

This is where the "Auto-Hold" automation acts as your strategic circuit breaker. It is not merely about stopping all orders; it is about intelligently pausing only those that display specific risk characteristics. By leveraging Shopify Flow, you can build a logic layer that sits between the checkout and the fulfillment center. This layer evaluates every incoming order against a set of criteria you define—such as risk score, order value, or shipping destination—and mechanically halts the fulfillment process if a threat is detected.

Implementing an Auto-Hold rule fundamentally changes your operations from reactive to proactive. Instead of scrambling to cancel a shipment after noticing a suspicious email address, your system has already placed the order in a "Held" state. It applies a native "Fulfillment Hold" status that downstream apps and 3PLs (provided they are compliant with Shopify's API) respect. This buys you the most valuable asset in fraud prevention: time. It gives your team a breathing room of 24 to 48 hours to verify the customer's identity without delaying the legitimate 99% of your orders.
