Lesson Summary

Keeping an Eye on Account Access (Advanced)

What is it?

Shopify keeps a record of every time a staff member (or you, the owner) logs into your store's admin panel. This log includes the date, the IP address, and the geographical location of the login.

Why is it important?

Reviewing login history is a proactive security measure. It helps you spot suspicious activity that could indicate a compromised account. For example, a login from a country you have no staff in is a major red flag that requires immediate action (like forcing a password reset and revoking sessions).

How to View Login History

  1. Go to Settings → Users and permissions.
  2. Click on the name of the staff member (or your own owner account) whose activity you want to review.
  3. Scroll down to the 'Recent login history' section.
  4. Here you'll see a list of the most recent logins. You can see the date, approximate location, and IP address for each session.

When to Check Login History

  • Routinely: It's good practice to glance at this every few weeks as part of a security check-up.
  • After a Security Alert: If you receive a 'new device login' notification from Shopify that you don't recognize.
  • When an Employee Leaves: To ensure there's no access after their account has been deactivated.

How to Review Shopify Staff Login History

Imagine walking into your physical retail store in the middle of the night. You expect it to be dark, locked, and empty. Instead, you find the lights blazing and the cash register drawer wide open. You would instantly know something is wrong. In the digital world, your Shopify admin panel is that store, access permissions are the locks on the doors, and the Login History is your security camera footage. Without reviewing the footage, you have no way of knowing if someone has been in the building when they shouldn't have been.

Shopify’s Login History is a built-in forensic tool that quietly logs every single successful and failed attempt to access your store's backend. It records critical metadata including the date, time, IP address, approximate geographic location, Internet Service Provider (ISP), and the device used. This data exists whether you look at it or not, but it only becomes valuable intelligence when you actively audit it. It is the only definitive record of who accessed your business data and from where.

Why is this strategically important for your brand right now? As you move from the "Launch" phase to scaling, you will inevitably add more people to your account—support staff, marketing agencies, developers, and fulfillment partners. Every new account is a potential entry point for bad actors. If a staff member uses a weak password or falls for a phishing scam, their legitimate credentials becomes a weapon against you. By the time unauthorized changes are made to your products or payout details, the damage is done. Routine auditing of login history allows you to detect the "smoke" of a compromised account—such as a login from a country where you have no employees—before it turns into the "fire" of a data breach.
